Privacy Policy

Nursing Elite Academy ("we", "us") respects your privacy. This policy explains what personal information we collect, why we collect it, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Last updated: October 27, 2026

1. Who we are

Nursing Elite Academy (formerly NCLEX Elite Academy) provides exam preparation for the NCLEX-RN, REx-PN and NACC PSW exams, a student portal, and nursing resume writing, interview preparation and career guidance. We are based in Ontario, Canada. Our Privacy Officer can be reached at info@nursingea.com.

2. Information we collect

Please do not send us health information, government ID numbers, financial account details or other sensitive information we have not asked for.

  • Contact details you give us, such as your name, email address, phone number and province.
  • Career information, such as your designation, registration status, work history, education, certifications, career goals and your current resume.
  • Messages you send us by email, phone, WhatsApp or our website form.
  • Basic technical information that web servers record automatically, such as your IP address, browser type and the pages you request, used for security and to keep the site working.

3. How we use your information

We do not sell your personal information.

  • To respond to your questions, and applications.
  • To provide the services you ask for, such as writing your resume or preparing you for interviews.
  • To send you service-related messages, such as confirmations and follow-ups.
  • To send you newsletters or updates, only if you have opted in. You can unsubscribe at any time.
  • To protect our website from spam and misuse, and to meet legal requirements.

4. Consent

By submitting our form or contacting us, you consent to us using your information for the purposes above. You may withdraw your consent at any time by emailing us, subject to legal or contractual limits. If you withdraw consent, we may not be able to continue providing services.

5. Service providers and where your information is stored

We use trusted service providers to run our business, and they may only use your information to provide services to us. These include Microsoft 365 (email and document storage), our website hosting provider, and WhatsApp if you choose to contact us there.

Card payments are processed by a PCI-DSS compliant payment processor. It receives your card details and payment information directly; we never see or store your card number. When you pay through one of our payment links, we keep a record that you agreed to our Terms of Service and Refund Policy: the date and time, the version of the terms, your IP address, approximate location and browser. We keep this with your payment record and use it only to manage your payment and respond to questions or disputes about it.

Documents you upload with an application, resume building or interview prep request in the student portal (for example licences, degrees, transcripts and resumes) are stored in our Microsoft OneDrive. Only our staff can open them, through the portal; when a document or application is deleted, it is kept for 90 days (so a mistake can be undone) and then deleted; they are also deleted when your account is deleted (OneDrive may keep deleted files in its recycle bin for up to 30 days before removing them for good).

Some of these providers may store or process information outside Canada, including in the United States. When that happens, your information may be subject to the laws of that country and could be accessed by its courts, law enforcement or national security authorities.

6. How long we keep your information

We keep personal information only as long as we need it for the purposes above. Application and client records are generally kept for up to two years after our last contact with you, unless a longer period is required by law, and are then securely deleted.

We keep a copy of each email the portal sends you (who it went to, when, and whether it was delivered) for two years, so you and our staff can see what was sent. Links in those copies that sign in, set a password or make a payment are blanked out. You can see your own under Account → Emails we sent you.

Student portal accounts, including your scores, progress, payments and activity, stay in the portal for a month after your access ends. They are then moved to an archive in our Microsoft OneDrive (you can no longer sign in), so we have a complete record for accounting, legal obligations and any dispute, and so we can restore your account if you come back. Archives are kept for six years after your access ends and are then deleted. Teacher and staff accounts are kept for two years after their last sign-in. You can ask us about deleting your information sooner, subject to what we must keep by law.

Backups of the portal are kept in our Microsoft OneDrive for up to 12 months, so we can recover from a technical problem, and are then deleted.

When something is deleted in the student portal, a copy is kept in our Microsoft OneDrive for 90 days, with who deleted it and why, so a mistake can be undone. It is then deleted for good.

To fill in our own expense records, receipts and invoices for the academy's purchases are read in the browser; when that isn't clear enough, the receipt image is sent to Google's Gemini service to read it. Student information is never sent.

7. How we protect your information

We use reasonable safeguards, including encrypted connections (HTTPS) and restricted access to our business accounts. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the Privacy Commissioner of Canada of any breach that creates a real risk of significant harm, as required by law.

8. Photos on this website

Our founder's page includes photos from her professional life, such as conferences and workplace events. Some of these photos show other people. We share them to celebrate our founder's professional journey and the healthcare community she is part of.

If you appear in a photo on this website and would like it removed or your face blurred, email info@nursingea.com with the subject "Photo removal request" and tell us which photo. We will remove it promptly, usually within 5 business days, and confirm by email.

Other photos on the website are stock images used for illustration.

9. Cookies, analytics and visit counts

We do not use advertising cookies. We use Google Analytics only if you press Accept on the cookie banner. It sets Google Analytics cookies so we can see, in total, how our website and student portal are used (pages visited, device type, approximate region). IP addresses are shortened by Google, Google signals and ad personalisation are off, and nothing is used for advertising. For portal pages we send only the type of page (for example "a note"), never your name, email or what you are studying, and nothing at all from staff screens. If you press Decline, no analytics cookies are set. You can change your choice at any time with Cookie settings at the bottom of every page. Google Analytics data is processed by Google in the United States and kept for 14 months.

The portal itself uses only the cookies it needs to work: keeping you signed in, remembering your theme and list settings, remembering your cookie choice, and a random code that identifies your browser so an administrator can mark it as a trusted device for staff sign-ins.

For teacher and staff accounts, each sign-in may need an administrator's approval. To decide, administrators see the device and browser, approximate place and IP address of that sign-in. These requests are kept with the sign-in history.

We count visits to our pages without cookies. For each visit we record the page, the date and time, the website you came from (if any) and your approximate location (city, region and country), worked out from your network address. We do not store your IP address for website visits. These counts are only visible to our administrators, are used to see which pages are useful, and are deleted after 13 months.

Our founder's page can show a LinkedIn profile badge, posts and a live LinkedIn feed (through Elfsight). They load only after you press Accept on the cookie banner, or press Show the LinkedIn feed; until then nothing is requested from LinkedIn or Elfsight. Once loaded, these services may set their own cookies, as described in their privacy statements.

10. Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Email info@nursingea.com. We will respond within 30 days.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
